QBO Accounting Assistant Privacy Policy

This Privacy Policy explains how Rogliano’s handles information in connection with the Rogliano’s QBO Accounting Assistant, a private internal tool used for QuickBooks Online reporting, reconciliation preparation, mapping suggestions, and event invoice draft workflows.

Information the Application May Access

When authorized, the application may access Rogliano’s QuickBooks Online company data through Intuit APIs, including chart of accounts, customers, items, classes, locations or departments, invoices, payments, deposits, sales receipts, refunds, purchases, bill payments, transfers, journal entries, transaction dates, amounts, balances, document numbers, memos, and related accounting fields.

The application may also process local bank and credit-card statement exports, event sales drafts, payment-source notes, mapping rules, reconciliation review rows, and approval metadata created by Rogliano’s authorized users.

How Information Is Used

  • Prepare monthly bank and credit-card reconciliation review packs.
  • Match statement transactions to QuickBooks Online transactions.
  • Suggest accounting categories, classes, locations, channels, customers, and items.
  • Identify duplicate, missing, unmatched, or suspicious transactions for review.
  • Prepare local event invoice drafts and review-gated QuickBooks Online write proposals.
  • Maintain operational logs that avoid printing passwords, OAuth tokens, card numbers, and full account numbers.

Storage and Security

QuickBooks Online OAuth tokens are stored locally for authorized Rogliano’s users using Windows DPAPI-encrypted credential files. Accounting exports and review files are stored in Rogliano’s private operations workspace. Public website pages do not store OAuth tokens or accounting records.

Rogliano’s uses reasonable administrative, technical, and organizational safeguards, including local credential encryption, redacted logs, and review-gated accounting actions. No system can be guaranteed to be completely secure.

Sharing

Rogliano’s does not sell accounting data from the application. Information may be shared with authorized Rogliano’s personnel, accountants, bookkeepers, service providers, Intuit/QuickBooks Online, hosting or storage providers, security tools, or others as needed to operate the application, comply with law, protect rights, prevent fraud or abuse, or support business operations.

Retention

Accounting records, review queues, logs, and exports are retained as reasonably needed for business, legal, accounting, audit, tax, security, and operational purposes, unless a shorter retention period is required by policy or law.

User Choices and Access

Authorized users may request correction or removal of local application access or locally stored credentials, subject to Rogliano’s business, legal, accounting, and security requirements. QuickBooks Online authorization can also be revoked through Intuit account or app connection settings.

Changes to This Policy

Rogliano’s may update this policy from time to time. Updates will be posted on this page with a revised “Last updated” date.
